AI LLM Policy

How CV5 Capital uses artificial intelligence tools and protects personal data, with human oversight of final decisions.

This notice applies to CV5 Capital. It explains our use of artificial intelligence (AI) tools, including large language model (LLM) tools, in the services we provide. Please read it alongside our Data Protection Policy.

Our approach to AI

We use AI tools to support operational efficiency, document review and the preparation of meeting minutes. We do not provide data to AI developers for wider machine learning. CV5 Capital does not permit the use of high-risk AI systems or automated decision-making. Final decisions remain with a person.

Meeting minutes and transcription

We may make a secure temporary audio recording of meetings to support the accuracy, quality and turnaround of meeting minutes. Recordings and transcripts are produced using Microsoft Teams Premium or Copilot and stored within the CV5 Capital network.

A trained member of the CV5 Capital team oversees meetings and stops recording during offline conversations, scheduled breaks or when otherwise required. Personal data in final minutes is redacted where possible.

Recordings and transcripts may include:

  • Attendee names and contact details.
  • Personal information discussed in correspondence, meeting documents or board packs, including CVs.
  • Information relevant to Fund due diligence, such as politically exposed person screening results or criminal-conviction information where discussed.

Fund documentation and due diligence

We use AI to help extract information from Fund documentation for risk review and the preparation of Fund-level policies. AI may also assist in reviewing Fund marketing materials, delegate responses and supporting due diligence documentation.

These tools support human review and assessment. Final decisions are always made by a person.

Reporting and operational support

AI may assist with preparing Fund performance reports, converting PDFs to text, summarising lengthy documents and translating documents. We minimise personal data where possible and seek to prevent unnecessary personal details from appearing in final reports.

Users of AI tools within CV5 Capital are required to understand their data protection obligations and process personal data accordingly.

Children and minors

Our services are not directed to individuals under the age of 16, and we do not knowingly collect personal information from minors under 16.
